Vendor Terms

I. Payment and Acceptance

  1. Vendor Fee: The fee for this event is per 10x10 space.

  2. Deadline: Payment must be made in full within 7 days following application acceptance.

  3. Default: Failure to pay on time constitutes a material breach and allows the Organizer to cancel your spot.

  4. Discounts: Any promotional rates are non-transferable and apply only to the intended recipient.

II. Setup and Operational Standards

  1. Timeline: Setup begins two hours before the event and must be finished 30 minutes before the start time.

  2. Equipment: Vendors are responsible for providing their own tent, signage, and tables.

  3. Tent Safety: Tents must be NFPA 701 Certified (flame retardant).

  4. Tent Safety: No open flames (candles, incense, etc) unless given written consent prior to the event.

  5. Anchoring: Every tent leg must be secured with at least 15-pound sandbags or weights.

  6. Aesthetics: Vendors must use floor-length tablecloths to hide storage underneath tables.

  7. Product Limits: Vendors may only sell the "Primary Product/Service" listed in their application.

III. Venue Rules and Cleanup

  1. Parking: After unloading, vendors must move vehicles to designated parking areas.

  2. Trash: Vendors must remove all trash and waste from their booth. Boxes must be broken down and placed by dumpsters.

  3. Cleanup Fee: If a space requires cleaning by event staff, a fee of up to $200 will be charged.

IV. Safety and Insurance

  1. Insurance: Vendors must maintain liability insurance. The Certificate of Insurance (COI) must name Ecstatic Living FL and the Venue as additional insured parties.

  2. Fire Safety: Food vendors using fryers must have a Class K extinguisher with a current certification tag.

  3. Food Prep: Food vendors must use grease-protective covers under their tents.

  4. Power: If power is purchased, vendors must provide a 50-foot extension cord and a cable protector to prevent tripping hazards.

V. Marketing and Media

  1. Social Media: Vendors agree to post about the event on social media at least twice: one story and one feed post.

  2. Content Rights: The Organizer may use photos or video of your booth and products for future promotional purposes without compensation.

VI. Postponement and Cancellation

  1. Weather: Events are "Rain or Shine" unless conditions are deemed unsafe by the Organizer.

  2. If the event is postponed due to circumstances beyond control (e.g., hurricanes), fees will be applied to the rescheduled date.

  3. If a vendor cannot attend a rescheduled date, they may roll 100% of the fee to the next event (used within 2 months) or forfeit the fee to be listed as an event Sponsor.

Vendor Acknowledgment

I have read and fully understand this agreement and agree to be solely responsible for myself and my staff during the event.
